Delana Technologies designed and built an automated CRM data-enrichment pipeline that classifies company records with standardized SIC and NAICS industry codes, writes the enriched data back into HubSpot, and runs unattended at database scale. This case study covers the problem, the architecture, and why the design choices matter for sales, marketing, and RevOps teams.
The Problem: CRM Records That Cannot Be Segmented
Most CRM databases carry thousands of company records with missing or inconsistent firmographic data. Without standardized industry codes, territory assignment becomes guesswork, lead routing misfires, total addressable market (TAM) analysis is unreliable, and reporting cannot be trusted. The usual remedies are equally poor: manual data entry that never keeps pace, or one-off enrichment purchases that go stale the moment they land.
What We Built
The HubSpot SIC and NAICS Enrichment Pipeline is an automated data-enrichment workflow built in n8n. It pulls company records from HubSpot (or an uploaded Excel file), identifies records missing key firmographic data, classifies each company with standardized SIC and NAICS industry codes, and writes the enriched data back out. It combines CRM integration, an LLM classification step, an authoritative government reference dataset, and a web-based domain-discovery fallback into a single resilient, batched process.
Core Capabilities
Automated Firmographic Enrichment
The pipeline classifies companies into standardized SIC and NAICS industry codes using an LLM enrichment call, then validates those codes against the official U.S. Census Bureau 2022 NAICS structure file rather than relying on the model alone. Pairing AI inference with an authoritative reference source is the design decision that makes the output trustworthy enough to route revenue on.
Two-Way HubSpot CRM Integration
The workflow queries the HubSpot API to find companies missing domains or industry data, processes them, and maps the results back into HubSpot’s data shape for re-import. It also supports an Excel/XLSX import-and-export path for offline or bulk workflows, so the same logic serves both live CRM hygiene and one-time list cleanups.
Intelligent Domain Discovery
When a company record has no website domain, the pipeline does not give up. It attempts to discover the domain, fetches the company homepage, extracts and matches candidate signals, then re-checks whether a usable domain was found before continuing. This fallback materially increases the share of records that can be enriched instead of being written off as incomplete.
Reliability Engineering at Scale
Enrichment jobs fail in boring ways: rate limits, timeouts, a bad record halfway through a run. The pipeline is engineered so those failures cost minutes instead of a full re-run.
- Batch processing in groups of 1,000 records
- Cursor-based checkpointing so a run resumes where it left off after an interruption
- Conditional (IF) routing throughout the workflow
- Dedicated error-logging and result-aggregation paths
- Both on-demand (form submission) and scheduled/automated execution
Business Impact
For a sales, marketing, or RevOps organization, this pipeline replaces slow, error-prone manual data entry and recurring enrichment purchases with a repeatable, largely hands-off process. Clean, standardized SIC and NAICS codes improve territory and account segmentation, lead routing, total addressable market analysis, and reporting accuracy. The resume-and-batch design means it runs dependably against large CRM databases without supervision, and the domain-discovery fallback recovers records that would otherwise stay incomplete. In short, it turns a recurring data-hygiene chore into scalable infrastructure that keeps the CRM continuously enriched.
Technology Stack
- n8n workflow automation engine
- HubSpot CRM API (read and write)
- LLM-based industry classification
- U.S. Census Bureau 2022 NAICS structure file as the validation reference
- Excel/XLSX import and export
- Web fetch and parsing for domain discovery
Is This Right for Your CRM?
This pattern fits any organization running HubSpot, Salesforce, or a similar CRM with a large company database and incomplete firmographic data, particularly teams that need defensible industry classification for segmentation, compliance, or market sizing. The same architecture applies to other enrichment targets: employee count, technographics, parent-company mapping, and territory assignment.
